5/15/2020 Message from McDaniel: Plan for Student Item Retrieval / Return & Back to Work

 
 
OKCPS Families & Staff, 

As the state of Oklahoma and our community begin the process of reopening, OKCPS will be taking slow and deliberate steps to bring our employees back to work in an effort to complete the work of the 2019-20 school year and look toward the future.

We know many of our employees are excited to return and our students and families are anxious to retrieve personal items and to return district property which may still be at home. 

Please note that OKCPS will plan to respond in a flexible way to varying levels of disease transmission in the community and will be prepared to refine our response plans as needed. Local conditions and advice from public health officials will influence the decisions that are made regarding district-level strategies, including when we will proceed with retrieve/return efforts and when OKCPS will fully return to normal operations.



12-Month Employees Return to Work Phases

Phase 1: Beginning June 15, 2020 - Office-based departments will work two (2) days in office and three (3) days from home. Office-based department supervisors will determine staggered staff scheduling when the time comes. Offices will remain closed to the public.

From May 18 - June 12, employees will continue to work remotely or as directed by a supervisor.

Phase 2: June 29, 2020 - All departments shall report as normal but will not be allowed to enter common areas. Buildings will re-open to the public by appointment ONLY.

Phase 3: July 14, 2020 - All departments and employees shall report as normal. Buildings will also re-open to the public.
Employees shall maintain social distancing at all times and follow all public health guidelines. See "Social Distancing Guidelines for End of School Year" guidelines for staff attached below. Additional details and guidelines will be provided by the department supervisors prior to Phase 1.



Teachers


Building administrators will schedule teachers to retrieve their personal items, pack and label student items into bags, and complete the teacher check-out process starting Monday, May 18th, 2020.
 

 
Nurses 

On May 21 & 22, school nurses will be on-site to package medication for return to parents during pick-up times on May 26-29. (see details below)
 
Nurses will also collect all student data documents from locked cabinets, dispose of outdated medications, and label clinic items for return to the clinic after cleaning.



STEAM Rooms

Site STEAM Innovators will schedule a specific time with their principal to complete room inventory and closing procedures using the STEAM Room Inventory and Closing Guidelines.



Technology from Teachers

As in years past, all staff members may turn in their technology devices, keys, and badges to their principal/manager. These items will be labeled and picked up by IT on their next visit. Instructions for Principals and their chosen designees on how to process equipment can be found in the OKCPS Laptop Return Procedure: SY19-20 document.

If families have more than one student at a school site, they should choose one specific time to return/retrieve all items for their students. No need for multiple trips to the same site.



Library Books & Textbooks

All Grades

Librarians may return to work on May 14th or 15th to create a system for safely collecting library books, materials, and textbooks within the school. 



Athletic Uniforms, & Equipment

Middle & High School ONLY

Students need to label clean uniforms in a bag with their name, grade, and indicate which sport.

Staff should be prepared to provide extra bags if students need one and should label it with the proper information on the outside.



Band, Orchestra, Guitar, Dance 

Middle & High School ONLY
  
Instructors will communicate with students to ensure instrument cases and clean band/dance uniforms are labeled properly with their name and grade included.

Technology Equipment / Devices

Students who are not returning to OKCPS may return technology equipment to the school where they are enrolled. The Library Media Specialist will check-in.



Student Personal Item Retrieval

Schools should have a very limited number of staff members working on these days to assist families.

Schools should ask students and families to wait in their vehicles in the student pick-up/drop-off area in front of the building.

All items from student desks & lockers will be placed in plastic bags beforehand and brought outside by a school employee to be given to families.

Many thanks for your flexibility and patience as we continue to work through these challenges together. This process is another important step as we close out the 2019-20 school year and move toward our new normal for the fall. I'm very proud of how the OKCPS family has worked together over the last few months to keep our families and each other safe while remaining focused on what's best for kids.
