Executive Board Meeting Minutes

January 8, 2007

 

President, Kristi Warren, called the meeting to order in the Classen Museum.  Pam Dowd, Secretary presented the minutes of the previous meeting.  Viva Beasley moved and it was seconded to approve the minutes as read.  The motion carried.

 

Viva Beasley, Treasurer, presented the Treasurer’s report.  She also stated that she needs two volunteers weekly to look over the books.  Beth Croll volunteered to assist.  The treasurer reported that we have about $27,000 with liabilities of about $17,000.  We have collected over $3700 in donations for Mr. Poole as a result of his house fire and have distributed it to him.  We have collected $740 for another family in donations for funeral expenses.  Donations in the amount of $491 have also been collected for another Classen family suffering from a house fire and paid.  The board also discussed how to handle the cash donations given in response to teachers’ wish lists.  Beth Croll moved and it was seconded to distribute them to the teachers’ liaisons upon presentation of a receipt for the purchased wish list item.  The motion carried.

 

A discussion was held regarding the monies donated for deceased coach Thompson and to whom and how they would be distributed.  Since the funeral costs appear to have been covered, Viva offered to send letters to the individuals who made the donations asking them for their input or offering to refund the donations.  A suggestion was made to use the money for a memorial plaque and to establish a weight room, if the donors do not wish the monies returned or distributed to the family.

 

Kristi Warren gave the President’s report and thanked Rich and Lois for doing a great job on the Christmas lunch.  The turnout was not good possibly due to the timing.  It was recommended that future lunches be scheduled at least two days before finals.  We will check on the dates for spring finals before setting the date for the spring teacher luncheon.

 

The auction will be Friday, March 9, 2006, at Oklahoma Farmers’ Market.  It will cost us $1800 to use the facility.  The committee will do a walk-through on Friday, at 1 p.m., to make sure the facility is suitable.  The Big 12 tournament starts that night, so it was suggested that we use a sports theme with a possible trip to the Final 4 as the big raffle prize.  It was also suggested that we rent a big screen TV to show the tournament for those interested. 

 

We still need to look at prices on shelving for the storage closet.  We will be purchasing some fixed and some rolling shelves. 

 

We need twelve volunteers for testing for prospective students on Saturday, January 20, 2007, from 8 a.m. to 12 p.m. at Classen.  Marguerite Russell is the volunteer chairman and will be calling from her list for the volunteers.

 

Ms. Kingsolver is planning a seventh grade trip to the Jenks Aquarium since those students did not get to attend Camp Classen outdoor school in sixth grade.  They will need funding for chartered buses.  Since the PTSA donated money to the sixth graders for the Camp Classen trip in the past, Beth Croll moved that we give up to $1000 for the cost of a bus with the students to raise the rest through fundraising.  She accepted an amendment to her motion to give up to $1500 for transportation after the prices of chartered buses were investigated during the meeting.  The motion was seconded and carried.

 

The science fair will be held over the next two days.  Viva Beasley moved and it was seconded to provide up to $100 for coffee and donuts for the judges at the request of the science teachers.  The motion was seconded and carried.  It was suggested that the coffee be purchased from Starbucks since they have donated to our school in the past. 

 

The next general meeting will be tomorrow night at 6 p.m. in the media center. And the next board meeting will be February 7, 2007 in the museum at noon.  Homecoming will be Thursday, February 1, 2007.

 

Kristi also reported that the tours and shadowing are going well and will continue this week and next.  We have been more organized this year with dates set for students from each elementary school.  All the slots have been filled up and people are still calling for appointments.  Christi Savage has taken over the building renovation and is working on blinds for the front of the school.  Jennifer Puckett got the display boards ready for the tours, and Beth Croll put in flowers.  There will be a group session at 6 p.m. on January 18, 2007, for those additional students calling for tours, as there are too many requests for shadowing.  We could use volunteers to help including someone at the door to guide visitors. 

 

The deadline for teachers to spend last year’s grant money is March 31, 2007, or they will lose it unless prior arrangements are made with the PTSA.

 

Principal Ron Maxfield gave his report.  We will be getting an assistant principal for operations and who will serve as athletic director.  The proposal will go before the school board tonight.

 

There was a gun incident at the school before Christmas.  A student accused another student of choking him and the staff resolved it.  The student’s mother brought him up to school to report another incident involving a gun.  The student had been in the band room after school and saw another student with a gun.  The incident was admitted and the student with the gun was suspended for a year.
